Booking Villa Gaia as a Retreat Leader / Facilitator [To Lead a Private Retreat / Teacher Training / Workshop] 

  • Please note as we receive many inquiries and requests for reservations, all bookings are on a first come first serve basis.  
  • Bookings are only confirmed when a downpayment is received. 
  • A 1-3 part payment plan is worked out when booking Gaia Retreat Center for your event.
  • We suggest covering all meals, massages, other expenses factored for your guests on your final downpayment. If you decide to pay these expenses on arrival, then please note we accept cash only in major currencies.
  • Payment must arrive in the bank anytime before payment due date which will be highlighted in your invoice. 
  • An additional 40$ USD is required to be added ontop of each transfer to cover international bank transfer beneficiary sender fees. 
  • Any missing amount will be highlighted on your invoice-receipt to be settled in cash upon check in at Gaia Retreat Center. 
  • Invoice is valid for 7 days from date of issue
  • The booking is then released after 7 days for other inquiries, if payment hasn't been arranged. 
  • Extra entrance fee will be applied to off-site guests which allows access to our far infrared sauna, pool, hot tub, towels, yoga equipment, tea, and water. This rate is 15$ USD per person / per day. 
  • Daily Complimentary Breakfast Buffet for all on-site guests. Extra charge for off-site guests apply.

Temporary Work Permit
A temporary work permit at Gaia Retreat Center gives you peace of mind for the duration of your retreat.
The work permit fee  is mandatory and will be added to your invoice.


IMPORTANT:

We always try our best to remind our facilitators for when their next deposit is due. We strongly suggest to place your next deposit due date on your calendar reminder to ensure all deposits are paid in a timely manner and to avoid incurring losses as per our T&C below: 

- A 10% Penalty Fee will be applied on the pending / delayed deposit amount that was due, if delayed 14 days from the due date of deposit payment. 

- If after 6 weeks the deposit is still pending , Gaia Retreat Center has the right to cancel the retreat and absorb all deposits paid. 


Cancellation or Postponing as a Group Retreat Leader / Facilitator Policy

-No refunds or reimbursements are made under any life circumstances or emergency situations or force majeure when cancelling your retreat.

- All deposits paid are forfeit (absorbed) by Gaia Retreat Center if a facilitator decides to cancel / postpone 1 month or less, prior to their retreat start date. No refunds under any circumstances.

-If a retreat leader decides to postpone their retreat less than 2 months PRIOR to their retreat start date, 50% from the total rental fee on invoice, will be absorbed by Gaia Retreat Center as postponement penalty fee. Tax and service will not be charged in the postponement fee.
A 12-month window will then be offered to select new dates based on availability.

-If a retreat leader decides to postpone their retreat less than 6 months PRIOR to their retreat start date, 30% from the total rental fee on invoice, will be absorbed by Gaia Retreat Center as postponement penalty fee. Tax and service will not be charged in the postponement fee.
A 12-month window will then be offered to select new dates based on availability.

-If a retreat leader decides to postpone their retreat more than 6 months PRIOR to their retreat start date, 15% from the total rental fee on invoice, will be absorbed by Gaia Retreat Center as postponement penalty fee. Tax and service will not be charged in the postponement fee.
A 12-month window will then be offered to select new dates based on availability.

Due to any Force Majeure / Pandemic 
*If a retreat leader has not paid a postponement fee and Bali's airport is closed for international flights 1 month prior to the original retreat date, then Gaia Retreat Center will offer a 6-month window to postpone the retreat at no penalty. 

*If a retreat leader has paid a postponement fee and Bali's airport is closed for international flights 1 month prior to the original retreat date, then Gaia Retreat Center will apply your postponement fee towards your retreat meal budget and a 6-month window will be offered to postpone at no penalty. A fee will apply if retreat leader wishes to postpone to a longer 12-window (20% as shared above under postponement fee) 

*If a retreat leader has paid a postponement fee and Bali's airport is open for International flights 1 month prior to the retreat, then the fee is non-refundable / non-transferable. Gaia Retreat Center will retain the postponement fee towards operational expenses. 

We only allow one cancellation or date change for your retreat booking. If you have already postponed your retreat and have moved your dates to new dates those dates are fixed. If you would like to move them again we are sorry to say this is not an option. We allow only one date change for your booking.

Why do we have such a strict policy? 
Our center is a highly sought after, sacred space. All retreat leaders (host) and guests leave with an added sense of who they are and their mission. When a host books a retreat at our center, we reserve those dates and turn away all other hosts looking to book in that time frame. Any cancellations create an imbalance in the flow of energy at our center. Our goal is to utilize our center to its fullest capacity and activate as many people as we can.

Booking & Cancellation as a guest towards Villa Gaia's Signature Detox Retreat / Transcendental Meditation Retreat

  • Please note as we receive many inquiries and requests for reservations, all bookings are on a first come first serve basis.  
  • Bookings are only confirmed when a downpayment is received. 
  • No refunds or reimbursements are made when cancelling a Detox or TM Retreat, under any life circumstances or emergency situations or force majeure.
  • We do not offer credit for arriving late or leaving early. There are no partial refunds for any services not used while the retreat is going.
  • If you are booking six months in advance, a 50% non-refundable deposit may be transferred and the remaining 50% balance of your payment is due one month prior to your retreat start date.
  • If you are booking within six months leading up to your retreat, full 100% payment is required.  
  • An additional 40 USD will be added onto your invoice to cover international bank transfer / sender fees - per transfer. 
  • Any missing amount will be highlighted on your invoice-receipt to be settled in cash or credit card upon check in at Gaia Retreat Center. 
  • Invoice / Booking is valid for 3 days from date of issue.
  • The booking is then released after 3 days for other inquiries, if payment hasn't been arranged.

Check in & Check out timings

  • Check in time is at 2:00 PM and check out time is at 12:00 PM for all bookings. 
  • Any early arrivals or late departure times are subject to the availability of the villa and room.

Complimentary Pick up & Drop off from Airport

  • A minimum of 3 nights must be booked to avail a complimentary pickup and drop-off (transfers both ways).
  • Alternatively, a 300,000 IDR applies per transfer from Airport to Villa Gaia and vice versa. 
  • Transfers included in ALL retreats is strictly from Point A (Airport or Hotel) to Point B (Villa Gaia) - and vice versa. We do not offer complimentary shuttle service from Point A to another destination. 


Utilities 

  • Windows and bedroom doors must be closed while air-conditioning is in use. Gaia Retreat Center abides with an eco-friendly policy. Therefore, we request that lights & air-conditioning must be switched off when you need to go out or stay long outside of the villa. Villa staff may comply with this policy.

Cancellation Policy, Risks and Insurance 

  • Facilitators and all guests must assume complete and full responsibility for and hereby release PT. Gaia Retreat Center, Villa Gaia, the owner/s, the employees or anyone involved in supplying any services during the length of the proposed travel and retreat booking. 
  • PT. Gaia Retreat Center & Villa Gaia, shall not be responsible for any injuries, losses or damages in connection with accommodations, other facilities at the resort, ground transportation, diseases, Acts of God, local laws, climatic condition delays, changes or cancellation of travel due to weather conditions, accidents or health related problems while residing at Gaia Retreat Center & Villa Gaia, and while in-transit to (e.g., an accident on the way to a tour or into town etc), during, and after a tour.
  • In case of force majeure, act of governing law, pandemic, climatic condition disruption which forces airport closure or travel bans / restrictions, your full payment will be credited to another date within 6 months from date of original booking. Please see above.
  • It is the traveler’s responsibility to obtain appropriate insurance coverage against these risks.  You can purchase Travel Insurance when you purchase your airline ticket with most airlines and travel agents.
  • If travel plans are delayed or cancelled for any reason there will be no refunds issued by Gaia Retreat Center, except as stated above. 
  • We specifically recommend that foreigners entering Indonesia do so with a valid Passport expiring more than six month following the departure date from Indonesia. 
  • Gaia Retreat Center & Villa Gaia, are not responsible for expenses incurred in preparation for any cancelled trips by a guest such as flight cancellation or illness, airline tickets complications or for costs incurred due to travel delays.

Privacy Policy

  • What data do we collect and where do we collect it from? 
    The information we collect via our submission form and mailing list featured on our website, facebook and Instagram accounts are the following:
    full name, email address, mobile number (optional). how have you heard about us, booking selection for our programs and retreats. 

  • Why do we need it (on a legal basis, e.g. consent)? 
    We require this information to help support your bookings and inquiries.

  • How do we obtain your information (phone, email, etc. — manually or automatically).
    We obtain your personal details via our email mailing list submission form on our website. This is manually added by yourself.

  • For how long do we retain it (on a legal basis, e.g. due to product warranty duration).
    We retain your information for as long as you are subscribed with us. You have the option to unsubscribe from our mailing list at any time. 

  • Who do we share it with (including any third-party services).
    We do not share your personal details with any third party . 

  • How can users access their data, change or delete it?
    You can double opt into our mailing list to edit your details or click on (unsubscribe) when you receive our next mailing list - should you wish to remove yourself completely. 

  • How can users opt out of your marketing messages.
